Through its activities and networks, the Swiss Polar Institute (SPI) has gathered a wide range of information on logistics and operations in remote and/or extreme environments. This section offers a curated overview of specific fields where SPI could advise and provide support to the Swiss research community in preparation of fieldwork or campaigns. ⮞ Research permits and relevant authorities
SPI Secretariat has experience with permitting applications in different regions of the Arctic, remote high-altitude regions as well as Antarctica. Depending on the destination, SPI can also seek guidance among the network of national polar infrastructure operators through its commitments with FARO and COMNAP and its several agreements with international partners. SPI furthermore works closely with the Swiss Federal Department of Foreign Affairs and the Swiss network of Embassies abroad that can further support permit acquisition processes.
⮞ Health and safety in the field
The health and safety webpage provides detailed information about the type of support measures SPI offers to Swiss-based polar and high-altitude scientists on a regular basis. Upon request, SPI can also facilitate access to specialised courses on polar bear safety, as well as equipment handling and procurement. Similarly, SPI can provide guidance on health checks and procedures ahead of expeditions, as well as organise specialised trainings on mental health and social dynamics during extended periods in remote and isolated regions. All courses are organised in collaboration with SPI’s national and international partners.
⮞ Organising and preparing a scientific research expedition
SPI can advise on the different steps towards the preparation and coordination of field campaigns, notably by sharing best practices and contacts through its network. In case you are planning an expedition with multiple research parties, as a funding institution, SPI can provide insights towards the implementation of calls for proposals, selection and management of scientific projects, as well as insurance-related matters and data management in the field.
⮞ Freight operators for material and samples, specialised in the logistics of research activities in polar regions
SPI keeps a record of logistic service providers operating in remote polar regions. Far from being exhaustive, this list can be a starting point to establish a contact with trustworthy professionals in this field. The SPI Secretariat can also point out to experienced members of the science community who could potentially share their valuable experience. Regarding the management of cold chain, SPI has a limited number of contacts which can be provided to the community.
⮞ Customs clearance and export control procedures
SPI can share an overview of export and customs clearance regulations for scientific equipment and potential dual-use export control. Specific questions can also be referred to relevant experts within SPI’s network.
⮞ Connectivity and communication technologies
SPI can share its experience with communication technologies that have been tried and tested in polar regions. A list of local providers for the acquisition of adequate equipment can be obtained from SPI. Limited equipment (VHFs) can also be borrowed from the SPI Secretariat.
⮞ Data management in the field
Data management in the field needs to be well anticipated. SPI has published guidelines and best practices. SPI can also be an interlocutor with regards to international best practices and regulations and regional networks. SPI also works closely with the Swiss Data Science Center.

SPI has mapped the insurance aspects related to search, rescue and repatriation operations and compiled a document that is available to the scientific community upon request.
